Welcome to Chesterfield County School District! We are happy you have decided to make Chesterfield County Schools your employer of choice, and we welcome you to our workforce. Please read the instructions below on completing your new hire (on-boarding) documents.
To speed up the on-boarding process and prepare you for your first day, we have provided many of the required pre-employment documents you will need to complete to the right of this page. These can be filled out online, meaning that you can type in your information and print them to save time and to ensure that the information is easily readable.
Required Pre-Employment Document Instructions:
- Complete ALL of the required pre-employment documents on the next page; print them out; and turn in to the Human Resources office. Please do not use staples.
- If you do not have access to a printer, you may complete, save to a flash drive and bring to HR to print.
- DO NOT SIGN DOCUMENTS. Employees must sign all documents in the presence of a Human Resources representative. We will notarize any required documents for you; therefore, it is very important you only complete your personal information and DO NOT SIGN.
- You may bring required pre-employment documents any time Monday – Friday, 8:00 a.m. to 4:00 p.m. in the Human Resources office. No appointment is necessary. We cannot accept any documents through email, except the signed Letter of Intent when applicable.

NEW HIRE/TRANSFER REQUIRED DOCUMENTS
Federal Tax Form IRS(W-4)
Direct Deposit RequestDirect Deposit Request(with voided check or printout on your bank’s letterhead displaying your account number and routing number)
PLEASE BRING THE FOLLOWING INFORMATION/DOCUMENTATION FOR YOUR NEW HIRE SESSION WITH HUMAN RESOURCES:
- Driver’s License
- Social Security card
- Voided check or printout on your bank’s letterhead displaying your account number and routing number
- Name(s), birthday(s) and Social Security Number(s) of anyone you would like to designate as a dependent and/or beneficiary(ies)
- Marriage license if insuring your spouse and Long Form birth certificate(s) for any child(ren) you will insure
- All new hires are required to have a recent TB test to be eligible to begin work. SCDPH Form D-1420 must be completed and signed by a physician.
- If it has been over 12 months since your last TB test, please schedule to have one. We will need this before you begin work. (If you are transferring from a SC School District or State of SC Employer and have a TB test on file, please bring a copy.
- Any Voluntary Supplemental Benefit(s) information that you wish to transfer (Colonial, TrustMark, Washington National, etc)

If you need to make copies, your employee code will need to be entered. You can get this from your building’s Administrative Assistant.

Employee Forms – Forms often needed by employees such as Absentee, Leave of Absence, timesheets, direct deposit request, travel, field trip, travel, name change, Fundraiser Approval, Bus etc)

A required online safety and compliance training program that covers a range of topics, including safety and compliance, student and staff training. (An email will be sent by Rhonda Jordan in HR regarding this.

Payday – The business office will issue salary checks for professional employees and classified employees on the 15th and the last working day of each month of employment, except in the case where the payroll date falls on a Saturday, Sunday or holiday. In this case, the business office will issue the payroll checks on the last workday before the normal payroll date.
Employee Self-Service (ESS) – Accessed through the District website or ClassLink, this portal will allow you to check payroll and view your pay stub, inquire leave balance, view/change W-4, direct deposit, view W-2.

ClassLink – ClassLink acts as a central hub, allowing students and staff to access various apps and resources (like Google Classroom, learning platforms, etc.) with a single username and password.

PowerSchool Teacher – Cloud based student information system (SIS) for data management and communication. Used by teachers to enter student’s grades.

Teacher Evaluation / Educator Effectiveness / ADEPT – The ADEPT (Assisting, Developing, and Evaluating Professional Teaching) system has become a vital part of South Carolina’s overall teacher quality initiative. In addition to achieving the minimum score or better on appropriate examinations of both subject matter (content) and general teaching area, teachers are required to complete all ADEPT requirements to be eligible for a professional teaching certificate.
